CRM stages, what WON means (and doesn't), activating a paid seat, and managing your client pipeline.
What is the Agency CRM?
The Agency CRM (/app/clients) is a lightweight, built-in relationship tracker for managing your prospect-to-client pipeline inside GeoScript. Every business relationship — whether it came from the Opportunity Board or was added manually — lives here.
CRM stages
Every relationship has a stage. The stages in order are:
- SAVED — you've identified this business as a prospect.
- CONTACTED — you've reached out.
- REPLIED — the prospect has responded.
- MEETING — you've had or scheduled a conversation.
- PROPOSAL — you've sent a formal proposal or pitch room.
- WON — the prospect has agreed to move forward.
- LOST — the deal didn't close.
Move a relationship through stages from the client detail page. Stages are for your own pipeline visibility — they do not trigger any automatic billing or system actions.
WON ≠ active client
WON is a CRM stage. It records that a prospect has agreed to proceed. It does NOT:
- Start a paid subscription.
- Activate a client seat.
- Begin AI visibility monitoring.
- Create a billing event.
To make a WON client an active monitored client, you must activate their seat. The console overview shows a "Pipeline (WON, not paid)" count specifically to surface relationships that are won but not yet activated.
Activating a paid seat
From the client detail page, select "Activate seat." This initiates a Stripe checkout session for $299/month. On payment success, the seat moves to ACTIVE state and GeoScript begins the onboarding monitoring flow for that client.
After activation:
- Baseline monitoring begins across configured AI engines.
- The client workspace is provisioned with their monitoring, reporting, and optimization entitlements.
- You can install the Standard Script on their site to unlock website intelligence and deployment capabilities.
Seat activation does NOT require the prospect to interact with GeoScript — it is entirely managed by your agency.
Seat states
A client seat can be in one of several states:
- ACTIVE — billing active, monitoring running, all features available.
- ACTIVE_ONBOARDING — newly activated; onboarding data collection in progress.
- PAST_DUE — payment has failed; seat may be suspended if not resolved.
- No seat — the relationship exists in CRM but no paid seat has been activated.
Adding a client manually
You don't have to go through the Opportunity Board. Add any client directly via "Add client" (/app/clients/new). Provide the business name and domain. The relationship is created at SAVED stage and you can move it forward from there.
What the CRM does not do
GeoScript's CRM is built for agency-to-client relationship tracking, not general sales CRM replacement. It does not have email integration, contact records, task reminders, or pipeline forecasting.
WON stage does not trigger any notification to the prospect. GeoScript does not send emails on your behalf.
